Calculating Cost Per Event Instead Of Cost Upfront

The sticker price on a display kit makes some vendors hesitate. But sticker price is the wrong number to look at. Cost per event is the number that actually matters for your business.

Here is how to calculate it and why it changes the way you think about display spending.

1. Count your events for the next 12 months. Include every market, convention, pop-up, and fair you plan to attend. If you are not sure, use last year as a baseline. Most active vendors do 10 to 25 events per year.
2. Divide the display cost by that number. A Core 24-panel modular display kit across 15 events comes out to a few dollars per show. That is less than your parking costs at most venues.
3. Now project across three years. A modular kit with ABS connectors and frosted PP panels lasts for years with proper care. If you do 15 events a year for three years, that is 45 events. The cost per event drops to almost nothing.
4. Add the hidden costs of cheap alternatives. Replacement clips, new foam boards every season, zip ties, tape, extra setup time. A $50 display that needs $30 in repairs twice a year costs $110 annually. Over three years that is $330 on something that never looked professional to begin with.
5. Factor in lost sales. This is the big one. If a cheap display costs you even one sale per event, multiply your average sale price by your event count. That number usually dwarfs the cost of any display kit.
