    Every vendor hits this decision eventually: the con is far enough away that flying is on the table, but close enough that driving is technically possible if you're willing to lose a day to it. There's no universal right answer here, but there is a way to actually work it out instead of guessing.

    Start with what you're actually bringing

    The honest first question isn't "how far is it," it's "how much stuff am I bringing." A vendor with a Core kit, a small print bin, and a cash box has a completely different calculation than someone hauling a full Shapeshift Duo Max setup with two tables' worth of stock, extra lighting, and a rolling rack of prints.

    If your whole operation fits in one or two bags, flying opens up shows that would otherwise be an all-day drive. If you're bringing inventory by the crate, driving starts looking a lot more appealing regardless of distance, just because of what it saves you in baggage fees and the stress of hoping nothing gets lost.

    The real cost comparison

    Flights look cheap until you add up checked bag fees, oversized item surcharges, a rental car or rideshare at the destination, and the cost of shipping anything that didn't fit. Driving looks cheap until you count fuel, tolls, a hotel night if it's more than about 6-7 hours each way, and the value of the extra day or two it eats out of your schedule.

    Where the line usually falls

    For most vendors, anything under about a four to five hour drive isn't worth flying. You'll spend nearly as much time getting through the airport and back as you'd spend just driving, and you keep full control over how your booth gets handled the entire way.

    Once you're looking at ten-plus hours of driving, or the show is genuinely out of reasonable driving range, flying starts making more sense, especially if your kit packs down small enough to travel efficiently. This is honestly one of the underrated advantages of a flat-pack panel system over a bulkier pop-up frame: it doesn't force your hand on the travel decision the way a huge folded frame case does.

    Questions worth asking before you decide

    • Can my whole booth and stock fit in what I can reasonably carry through an airport?
    • Is there a friend or fellow vendor near the show I could split a drive with, or split a hotel with either way?
    • Am I bringing enough inventory that shipping some of it ahead makes more sense than hauling it either way?
    • What does my schedule actually look like the day before and the day after? Driving eats those days; flying gives some back.
    • Is this a show I'm doing once, or one I'll likely return to next year? If it's recurring, it might be worth investing in a travel setup (case, cart, etc.) suited to whichever mode you'll use repeatedly.

    The middle option people forget

    You don't have to pick a pure version of either. A lot of experienced vendors fly themselves and their essential display gear, then ship bulk product stock ahead separately. It splits the cost and the risk instead of putting everything on one mode of travel. If a flight gets delayed, your booth panels aren't stuck on a plane while your prints sit safely on a truck already at the venue.

    There's no prize for doing it the hard way. Pick the option that matches how much you're hauling and how much your time is actually worth that weekend, and don't be afraid to mix methods if it gets everything there safely.
