How to Work Out Your Table Fee ROI Before You Apply

    A $300 table fee sounds scary until you realize a $60 table fee at the wrong show can lose you more money. The number on the application isn't the number that matters. What matters is whether the math works out once you add everything else up.

    Here's a way to actually run it before you hit submit.

    Add up the full cost, not just the table

    Table fee is one line item. The real cost of doing a show usually includes:

    • Table fee (and badge fee, if it's charged separately from the table)
    • Travel: gas, flights, parking for the weekend
    • Accommodation, if it's not a day trip
    • Food for the days you're there (con food is expensive and you will buy it)
    • Inventory cost for whatever you expect to sell (materials, printing, packaging)
    • Your own time, which people forget to count and shouldn't

    Add these up first. A "cheap" $80 table three hours away with a hotel stay can easily cost you $400 all-in. A $300 table fee at a local show you can day-trip to might actually be the cheaper option once travel is factored in.

    Work backwards from your break-even

    Once you know your total cost, divide it by your average sale price to figure out how many items you need to sell just to break even. If your all-in cost is $400 and your average sale is $20, that's 20 sales minimum before you've made a cent of profit. Is that realistic for the size and type of show you're applying to? A 200-attendee local market and a 20,000-attendee anime con are not the same bet, even at similar table fees.

    Research before you apply, not after

    Before you commit, look for:

    • How many artists work in your general category or medium (too much overlap in a small show can split traffic thin)
    • Whether the show publishes attendance numbers from past years
    • Recent vendor feedback, even informal posts or comments from artists who tabled there before
    • Whether it's a first-year show (higher risk, no track record either way) or an established one

    A lot of alley veterans say they keep a running spreadsheet of every show they've done, with attendance, sales, and cost, specifically so this research gets easier every year instead of starting from zero each time.

    Don't skip the upside side of the math

    ROI isn't only about direct sales. A bigger, further-away show might be worth a loss on paper if it builds your following, gets your work in front of a genuinely new audience, or is simply a con you want to attend as an artist regardless of the table. Just be honest with yourself about which reason you're applying for. Doing it for exposure is a fine call to make on purpose. It's a bad surprise to discover by accident when you're counting your leftover cash on the drive home.
