Shipping Your Booth Ahead Instead of Hauling It Yourself

    At some point, usually after your third or fourth con trip, someone mentions shipping their booth ahead instead of hauling it, and it sounds almost too simple. Why has nobody told you this earlier? Mostly because it only makes sense once you've felt the specific pain of dragging bins through an airport or cramming your entire operation into the back seat.

    Why vendors start doing this

    The appeal is obvious once you say it out loud: you show up to the con with just yourself and a carry-on, and your panels, connectors, and stock are already waiting for you. No lifting, no baggage fees, no risk of an airline losing your booth two hours before doors open.

    It's not free, and it's not always faster, but for the right situation it removes a huge chunk of travel stress. It's especially worth it if you're flying to a show where you'd otherwise be paying oversized baggage fees anyway, since the shipping cost is competing against fees you'd pay regardless.

    What you need to check before you commit

    Does the venue or hotel accept freight ahead of time?

    This is the single most important thing to confirm first. Convention centres often have a receiving dock and a process for this, but hotels vary wildly. Some will hold a small number of boxes at the front desk. Others want nothing to do with freight and will refuse the delivery outright. Call ahead and ask specifically, don't assume.

    How many days before the show can it arrive?

    Most venues have a receiving window, often starting three to five days before the event and sometimes charging storage fees per day it sits there before that. Time your shipment to land inside that window, not a week early "just in case."

    What's your plan if it's delayed?

    Shipping carriers are generally reliable, but "generally" isn't "always." If your entire booth is riding on one shipment with no buffer day built in, you're one weather delay away from a very bad Friday. Build in at least one or two spare days if you can, and keep a lightweight backup plan (even just a tablecloth and printed signage you carried yourself) in case the freight doesn't show.

    Packing for freight vs. packing for a suitcase

    Freight shipping is rougher on boxes than airline baggage handling, somewhat counterintuitively, because pallets and freight trucks involve more transfers between vehicles and facilities. Reinforce boxes more than you think you need to. Use a proper shipping box, not a repurposed one that's already been through a move. Label every side with "this way up" if orientation matters for your panels, and include your name and booth number clearly in case boxes get separated at a busy receiving dock.

    • Use new or heavy-duty boxes, not soft duffel bags
    • Tape all seams, including the ones that look fine
    • Put a packing list inside the box as well as a shipping label outside, in case the label gets damaged
    • Photograph the contents before sealing, for insurance purposes
    • Insure the shipment for its actual replacement value, not just what you paid for shipping

    The cost math

    Shipping a couple of boxes of panels and stock typically runs somewhere between the cost of one checked bag and a few hundred dollars, depending on weight, distance, and how fast you need it there. Compare that against oversized baggage fees, the physical toll of hauling it yourself, and the value of arriving at the airport without needing a trolley for four bins. For a lot of vendors doing multiple shows a year, it evens out to roughly a wash on cost but a big win on stress.

    If you're running a bigger kit like a Shapeshift Duo or Duo Max with real weight to it, shipping ahead is often the more practical option purely because hauling that much gear through an airport solo is genuinely exhausting, and exhausting is the last thing you want to be walking into a three-day show.

    Start small if you're trying this for the first time. Ship the heavy stock ahead and carry your actual panels and essentials yourself, so you're not fully dependent on freight showing up on time for your whole booth to exist.
