Booking every show that will have you is not a strategy. It is a fast track to burnout. Career vendors who last more than a couple of years are selective, deliberate, and honest about what their body and bank account can handle.

Here is the checklist for building a con schedule you can actually sustain.

1. Calculate Your True Cost Per Show

Table fee is the obvious number. Now add travel, accommodation, food, parking, shipping, supplies, and the value of your time. A $200 table at an out-of-town show can easily cost $800 all in. If you are not clearing that comfortably, the show does not make the cut.

2. Set a Monthly Show Maximum

Four shows a month sounds productive. It is actually a recipe for exhaustion. Most career vendors cap at two to three shows per month, with at least one full weekend off. You need time to restock, create new work, handle admin, and REST.

3. Grade Every Show After You Do It

Keep a simple spreadsheet. Revenue, costs, profit, attendance estimate, and a gut-feel grade (A through D). After a year, you will see patterns. The B-minus shows that felt fine in the moment are costing you weekends that could be A-grade events.

4. Prioritise Travel Efficiency

Two shows in the same city on consecutive weekends is smarter than two shows in different states. Cluster your travel when you can. And make sure your display is PORTABLE enough for flying. A kit that packs into a carry-on sized case (56x36x23cm) saves you checked-bag fees and rental-car stress.

5. Build in Buffer Weekends

Things go wrong. You get sick. A show cancels last minute. Your car breaks down. Career vendors build buffer weekends into their schedule so one disruption does not cascade into a crisis. If every weekend is booked, one cancelled show throws your whole month off.

6. Apply Early and Apply Broadly

The best shows fill up months in advance. Career vendors submit applications as soon as they open, not when they remember. Set calendar reminders for application deadlines. Treat this like the business task it is.

7. Diversify Your Show Types

Do not put all your weekends into one category. Mix large conventions, mid-size art markets, and small local events. Different show types attract different customers and smooth out income volatility. A modular kit that scales from a half-table to a full booth lets you show up prepared regardless of the venue size.

8. Plan Your Off-Season Before Peak Season Ends

Peak season is intoxicating. The money flows, the energy is high, and it feels like it will never end. It always ends. The vendors who thrive year-round start planning their off-season strategy while they are still busy. Budget, inventory targets, online sales push, rest schedule. Do it while you have momentum.

9. Track Your Physical Limits

Repetitive setup and teardown is physical work. Back pain, knee problems, and sleep deprivation are real occupational hazards. If you notice your body protesting, that is DATA. Reduce your schedule or invest in a lighter, faster setup before you injure yourself out of the game.

10. Review and Adjust Quarterly

Your schedule is not a contract. Review it every three months. Drop shows that underperform. Add new ones that look promising. The vendors who treat their schedule as a living document CONSISTENTLY outperform the ones who set it in January and never look at it again.
