    Every new vendor makes the same mistake at least once: buying gear based on what looks impressive in other people's booth photos instead of what their actual table needs. You end up with a garage full of stuff you used once and a car trunk that's somehow always full.

    Let's sort the essentials from the stuff you can skip, at least for your first few shows.

    Actually need it

    • A cash box with a real float. $150 to $200 in small bills and coins, split across denominations. Card readers die at the worst moments, and someone will always try to pay with a $50 for a $12 sticker.
    • A card reader with a charged battery and a backup way to charge it. Con wifi is unreliable enough that you want a reader that can run offline or on data, not one that needs perfect signal to process a sale.
    • Tablecloth that reaches the floor. This isn't about looking fancy, it's about hiding the boxes, totes, and personal bag you're storing under the table. A bare table with visible storage looks unfinished no matter how good your art is.
    • Something vertical. A flat table alone gets skipped by people walking past. Vertical display, whether that's a grid wall, pegboard, or a panel system, catches eyes at a distance and gives you far more display area per square foot of table space.
    • Price tags on everything, visible without picking the item up. People will not ask. They'll just walk away if they can't tell the price in three seconds.
    • Business cards or a simple catalog. Some people want to buy later, or want to follow you online instead of carrying a print home on a plane. Not having any way for someone to find you again is money left on the table.

    Nice to have, not urgent

    • Fancy signage with your logo professionally printed. A clean, readable, handmade-looking sign works fine for your first several shows. Save the big signage investment for once you know your actual booth layout and what size sign it needs.
    • A dedicated table runner set. Nice for the aesthetic, but a single well-fitted tablecloth does the job. Add layers once you've got a visual style locked in.
    • Battery-powered string lights. Genuinely lovely under the right convention lighting, genuinely pointless under the fluorescent glare of most con halls. Test the venue first if you can.

    Skip it, at least at first

    • A full custom-built wooden display. Beautiful, heavy, and a nightmare to transport if you don't have a car built for it. Wait until you know you'll be doing this regularly and know your exact table dimensions before committing to something custom and non-collapsible.
    • A second card reader "just in case." One backup payment method (even just a Venmo or PayPal QR code taped somewhere visible) covers this. You don't need redundant hardware for a one-day show.
    • Every accessory add-on for your display system. Buy the base setup, use it for a show or two, then add exactly what you found yourself needing. You'll waste less money guessing after you've felt the actual gaps.

    The real lesson: buy for the table you have, not the booth you're imagining

    A lot of first-time vendors overbuy because they're picturing a dream booth from a con photo dump, not the 180cm table they'll actually be assigned. Measure your space before you buy anything. If you're working with a half table, don't buy display gear sized for a full one, you'll spend the whole day fighting your own setup for room.

    Comfortable shoes. You will be on your feet for eight to ten hours on concrete or convention carpet over concrete, and no amount of good merchandising fixes sore feet turning you cranky by 3pm. Break in whatever shoes you're wearing well before show day, not the morning of.
