The Maths on Cost Per Convention: Is a Modular Kit Worth It?

Nobody wants to do this math before buying a display kit because the sticker price feels like the whole decision. $1,399 for the Duo Max looks like a lot sitting next to a $200 tablecloth-and-easels setup. But a booth kit isn't a single purchase, it's infrastructure you use dozens of times, and the number that actually matters is cost per convention, not cost on checkout day.

The actual formula

Take the kit price, divide by how many cons you realistically expect to use it for over its useful life. That's it. The hard part isn't the math, it's being honest about the denominator.

Say you go with Shapeshift Base at $699 and you table 15 times a year. If the kit lasts you three years, that's 45 cons, putting you under $16 per convention just for the display. Compare that to a flimsier setup you replace every year because it doesn't survive travel, and even at a third of the price, you're rebuying it three times over the same stretch.

Where the real costs hide

The purchase price is the easy part to compare. The stuff that actually varies between display types is everything around it:

A modular kit that packs flat into a carry-on-sized footprint isn't just convenient at the airport, it also means you're not paying for oversized shipping or a separate storage bin taking up a corner of your apartment year-round.

The break-even isn't as far out as it feels

If you're tabling even semi-regularly, six to eight times a year, most kits in this range pay for themselves against a "buy a cheap version every year or two" pattern within about two years. If you're doing 15 to 20 cons a year, which isn't rare once you're a few years into this, the math tips even faster because you're spreading the same fixed cost across way more events.

The one honest counterpoint: if you table once or twice a year, total, this math doesn't favor a bigger kit. Buy the smallest thing that covers your table size (Core at $549 covers a lot of low-volume vendors just fine) and don't let the per-con math talk you into a kit sized for a schedule you don't actually have.

• Under 5 cons a year: buy for your current table size, not your hoped-for future one.
• 5 to 15 cons a year: the per-con cost math starts clearly favoring a durable modular kit over repeat cheap purchases.
• 15+ cons a year: your display is basically a piece of your business's fixed costs at this point, treat it like one.

None of this replaces just looking at your bank account and being realistic about what you can spend right now. But if the number you're stuck on is the sticker price alone, running it against how many times you'll actually set the thing up usually changes the decision.
