Restocking feels like the boring admin task between the fun parts, the actual conventions. You sell out of a print, you reorder more, done. Except the reorder is rarely "done" that simply, and the real cost of keeping your table full between shows is a lot higher than most artists track, because it hides in a dozen small places instead of one big invoice.
Print runs punish small batches
Print costs almost never scale down cleanly. A run of 100 prints might cost you $1.20 each, but if you only need 25 to top up before your next show, the per-unit cost can jump to $2.50 or more once setup fees and minimums get spread across a smaller batch. Restocking little and often, which feels responsible because you're not sitting on excess inventory, is often the most expensive way to buy.
The flip side is real too: over-ordering to hit a good price point ties up cash in prints that might not sell for months, and prints do degrade, corners bend, boxes get crushed in transit, humidity does what humidity does.

Shipping timing is its own tax
Rush shipping on a restock order that arrives two days before a show routinely costs 2 to 4 times standard shipping. It's an easy trap: you underestimate your sell-through at the last show, panic-order the week before the next one, and pay a premium for the privilege of your own bad timing. The fix isn't complicated, it's just discipline: order restocks the moment you're back from a show, not the week before the next one.
The costs that don't show up on any invoice
- Your time. Packaging prints in sleeves, printing new price tags, updating your point-of-sale, sorting stock into bins, this is real hours, usually unpaid hours squeezed in after a day job.
- Storage. If you're renting extra space or your spare room is now 40% inventory, that's a cost even if no cash changes hands for it directly.
- Design refresh cycles. Restocking the same five designs forever leads to fatigue from regulars who've seen your table three times this year. Budgeting for one or two new pieces per restock cycle isn't optional marketing spend, it's part of the real cost of staying relevant.
- Damaged stock write-off. Something always gets bent, stained by a spilled drink at a show, or creased in transit. Budget 3 to 5% of stock as expected loss rather than being surprised by it every single time.
A simple way to plan it
- Track sell-through per design after every show, not just total revenue.
- Reorder your top 3 to 5 sellers within a week of getting home, at the batch size that hits your best per-unit price without leaving more than two shows' worth sitting in a box.
- Let your bottom performers run out and don't automatically reorder them. A design that didn't move at the last two shows probably won't move at the next one either.
- Build the write-off percentage and your own packing time into what you consider the "real" cost per print, not just the invoice from the printer.
None of this means restocking should scare you off doing more shows. It just means the number in your head shouldn't be "what the printer charged me," it should be everything above added together. Once you track it for a season, you'll know exactly which designs are actually worth keeping in rotation and which ones are quietly costing you storage space and packing time for a handful of sales a year.
