Your first vendor fair is exciting and terrifying in equal parts. You have made the products. You have paid for the table. Now you need to show up looking like you belong there.
This is the checklist that keeps first-timers from learning things the HARD way.
Before The Event
- Confirm your table dimensions. Most fairs give you a 6ft (180cm) table. Some give you less. Ask the organiser. Your entire display plan depends on this number.
- Plan your display height. Eye level sells. A flat table with products laid out like a garage sale does not. Build upward with a modular display kit that stacks 5 panels high to 175cm and gives your products a proper backdrop.
- Do a full dry run at home. Set up everything exactly as you will at the fair. Time yourself. If it takes more than 30 minutes, simplify. You will have less space and more stress on the day.
- Print price tags for everything. Customers will not ask. They will walk away. Every single product needs a visible price.
- Prepare your float. Bring more change than you think you need. $50 in coins and small notes minimum. Card readers die at the worst moments, so cash backup is essential.
What To Pack
- Display system and all connectors. Count your panels and connectors the night before. One missing piece can throw off your whole layout.
- Tablecloth. A clean, solid-colour cloth that reaches the floor. It hides your storage underneath and looks ten times more professional than a bare table.
- Business cards or flyers. People browse dozens of stalls. Give them something physical to remember you by.
- Phone charger and portable battery. Your phone is your payment terminal, your camera, and your social media machine. It WILL die without a backup battery.
- Water, snacks, and sunscreen. You cannot leave your stall easily. Pack like you are not coming back to your car for six hours, because you probably are not.
Setting Up On The Day
- Arrive as early as allowed. Early setup means less stress, better parking, and time to fix problems before customers arrive.
- Build your display first, stock it second. Get the structure right before you start placing products. Rearranging a loaded display is a nightmare.
- Make your hero product visible from 3 metres away. Put your best seller front and centre, at eye level. People decide whether to approach your stall in about two seconds.
- Test your payment system before doors open. Process a $1 test transaction. Confirm your internet or mobile signal works in that specific spot.
During The Fair
- Stand up and greet people. Sitting behind your table scrolling your phone is the fastest way to get ignored. A simple hello and a smile doubles your engagement.
- Take photos of your setup. You need these for social media and for improving your layout next time.
- Track what sells and what gets picked up but put back. This data is gold for your next event. The items people touch but do not buy need a price adjustment or better positioning.
