The Vendor Spreadsheet: Tracking What Your Booth Actually Earns

If you are not tracking your per-event numbers, you are guessing. And guessing leads to bad decisions about which events to book, what to stock, and whether your display is earning its keep.

Here is what to track in your vendor spreadsheet.

1. Event name, date, and location. Basic but essential. Over time this becomes your database for which events are worth rebooking and which are not.
2. Table fee. This is your baseline cost. Every dollar you earn has to clear this number before you are in profit for the event.
3. Travel and setup costs. Fuel, parking, food, accommodation for multi-day events. These add up faster than you think and some events stop being profitable once you include them honestly.
4. Total revenue. Everything you sold, including commissions and custom orders taken at the event. Use your card reader reports plus cash totals.
5. Foot traffic estimate. You cannot count every person, but note whether it was slow, moderate, or busy. Over time, patterns emerge about which events bring the right crowd.
6. Conversion observations. How many people stopped versus walked past? Did people engage with your display or just glance? This is where you see whether your modular display kit is doing its job.
7. Display notes. What setup did you use? Did anything break? Did you wish you had more space? These notes drive your future display decisions.
8. Net profit per event. Revenue minus all costs. This is the number that tells you whether an event belongs on next year's calendar.
