    You open the case the night before a show and something's cracked, bent, or missing entirely. It happens. Airlines drop things, freight trucks aren't gentle, and even careful driving can jostle a poorly packed bin loose. What actually matters is what you do in the next hour, not whether it happened in the first place.

    First, assess what you're actually dealing with

    Not all damage is equal, and panic makes it look worse than it is. Separate the problem into three buckets:

    • Cosmetic: scuffs, scratches, minor surface marks that don't affect structure. Ignore these tonight, deal with them never, honestly.
    • Functional but fixable: a cracked connector, a bent hook, a panel that's chipped at one corner but still holds. These you can usually work around.
    • Actually booth-ending: multiple panels destroyed, or damage that means the structure genuinely can't stand safely. Rare, but worth knowing what your backup plan is if it happens.

    Working around functional damage

    A modular panel system has an advantage here that a single-piece backdrop doesn't: damage to one panel or connector doesn't take out your whole booth. You can usually reconfigure around a damaged piece rather than needing to replace it on the spot.

    • Move a cracked panel to a lower, less visible position instead of eye level
    • Use a spare connector if you packed one (worth always throwing an extra hook or two in your kit bag, they're small and cheap insurance)
    • If a section is genuinely unusable, reconfigure your layout narrower or shorter rather than trying to force a broken piece into place
    • Gaffer tape is not a permanent fix but it will get you through a weekend on a cracked corner or loose joint

    If something's missing entirely

    Check every bag and pocket before assuming it's lost, connectors especially have a way of migrating into side pockets. If it's genuinely gone, most convention host cities have a hardware store, and even a basic clamp or zip tie can hold a structure together for a weekend in a pinch. It won't look elegant, but a booth that's standing beats an empty table.

    Documenting it for a claim

    Before you fix anything or clear away debris, take photos. Wide shots of the case as you opened it, close-ups of the specific damage, and if you have them, photos of how everything was packed before you left. This is the difference between a smooth insurance or airline claim and a frustrating back-and-forth with no evidence.

    Airlines typically want a report within 24 hours of a checked bag being damaged, sometimes even before you leave the airport if it's visible right away. Freight and shipping carriers vary, but most give you a few days. Don't wait until you're home from the show to start this process. File as soon as you can, then deal with the rest of the details later.

    Preventing the repeat

    Every damage incident teaches you something specific about your packing, and it's worth actually updating your process instead of just being more careful "in general" next time, which never works. If a corner cracked, that's a padding gap. If a connector snapped, that's a loose-item problem. Fix the specific cause, not just the general vibe of being more careful.

    It's a rough night when it happens, no way around that. But a modular setup gives you more options to patch through a bad situation than most display types, and a documented claim means you're not just eating the cost either.
