The Complete Artist Alley Table Setup Guide

The Complete Artist Alley Table Setup Guide

Table of Contents

Nobody teaches you how to set up a table. You figure it out by watching other vendors, getting your first booth photo back and cringing, and slowly accumulating the stuff that actually works. This is the guide we wish existed when we started: the full setup, in order, from the tablecloth up.

Start with your footprint, not your stuff

Before you buy a single display piece, know your table size. Most artist alley tables run 180cm (6ft) or half that at 90cm (3ft), but always check your specific con's floor plan because "standard" varies more than people admit. Everything downstream, backdrop height, how many display panels you need, whether you can afford a second chair, comes from this number.

A half table (90cm) is tight. You're realistically running one product category vertically and everything else flat. A full 180cm table gives you room to actually zone your table into sections, which matters more than people think when a customer is trying to figure out where to look first.

Build vertical before you build flat

This is the single most repeated piece of advice from experienced alley vendors, and it's repeated because it's true: flat tables don't sell. If everything is lying on the table surface, customers standing three feet away can't see any of it, and they will not lean in to check. Vertical displays put your art at eye level, which is the level people actually browse at while walking past a row of tables.

This is where a backdrop system does real work. A modular panel wall behind your table (something like a Shapeshift Base kit for a half or full table setup) gives you a vertical surface for prints and larger pieces, while your table surface handles stickers, pins, and anything that needs to be picked up and handled.

    The layout order that works

    1. Backdrop wall first, set to your con's height limit (many cap around 175cm, always confirm with your specific event)
    2. Anchor pieces at eye level: your 2-3 best prints, biggest sellers, or newest work
    3. Mid-height shelving or risers for smaller prints and books
    4. Table surface for stickers, pins, business cards, and your card reader
    5. A visible sign or banner with your name and a clear way to find you online

Lighting matters more than your art

Harsh convention hall lighting will wash out or shadow your table depending on where you're placed, and you don't get to choose your spot's lighting. Clip lights aimed at your backdrop help a lot, and if you're using frosted panels instead of a solid backdrop, the light diffuses through the panel itself instead of creating a hot spot. That's a small thing that makes a real visual difference in photos people take of your table, which is free marketing you don't want to mess up with a blown-out corner.

    Don't forget the boring stuff

A folding chair that doesn't creak. A cash box with actual float in small bills (we're talking $150-200, not "whatever's in my wallet"). Tape, extra zip ties even if you're not using a wire setup, business cards, a phone charger, snacks that aren't messy. None of this is glamorous and all of it saves you at 2pm on day one when something breaks or you forgot your card reader was at 12%.

    A simple table setup checklist

    Category What to bring
Structure Tablecloth, backdrop/display system, risers or shelving
Product Prints, stickers, pins, whatever your line-up is, plus a catalog if online-only
Money Cash float, card reader, charged phone, price signage
Comfort Chair, snacks, water, pain relief, layers
Marketing Business cards, social handles visible, QR code to your shop

If you're building this out for the first time and don't want to buy a backdrop system, a risers system, and a lighting rig separately, that's really the appeal of a single modular kit. The Shapeshift Base tier covers counters, half tables, and full 180cm tables from one kit that packs flat between events, so you're not reinventing your setup logistics every time your table size changes.

Most of this comes down to trial and error anyway. Your first table won't be your best table. Take a photo of it before doors open, look at it again after your first con, and fix the one thing that bugged you the whole weekend. That's basically the entire process.
