    Flying to a convention changes the entire calculation for your display setup. What works fine when you're driving thirty minutes to a local market can become a genuine problem at airport check-in, and a lot of vendors learn this the expensive way, usually with an oversized baggage fee or a bent display piece that never sits right again.

    The core issue: most display gear isn't built to travel

    Wire grid panels, PVC pipe structures, wooden shelving, most of the classic DIY display builds are rigid. They don't fold flat, which means you're either checking an oversized bag, shipping gear ahead separately, or building your display fresh out of parts bought locally at your destination. All three of those options cost money, time, or reliability, sometimes all three.

    If you're flying regularly for conventions, this is worth solving properly rather than re-solving every single trip.

    What actually fits in a carry-on

    The standard carry-on allowance most airlines use is around 56 x 36 x 23cm. That's a tight box, and it rules out most rigid display structures immediately. Flat-packing modular panels are built around exactly this constraint, individual panels around 35 x 35cm (or 35 x 17.5cm for half-square panels) stack flat and slide into a case that fits that allowance, so your entire backdrop travels as carry-on instead of eating into your checked bag weight.

    What to pack in your carry-on vs checked bag

    • Carry-on: display panels/connectors (if they fit), card reader, cash float, anything irreplaceable
    • Checked: bulk product stock, tablecloth, chair or cushion, anything replaceable if delayed
    • Personal item: laptop, chargers, snacks, the stuff you want access to mid-flight
    • Never checked: cash, ID, anything you can't replace same-day at your destination

    Protect the connectors, not just the panels

    Panels are usually the sturdy part. Small connectors, hooks, and hardware are the pieces that get lost in a bag or crushed under heavier items. Keep them in a small zip pouch or the original box insert rather than loose in a suitcase pocket, and count them before you leave so you're not discovering a missing connector while trying to build your wall at 7am.

    Weight adds up faster than you expect

    Even gear that packs flat still has weight, panels, connectors, a mallet, a protective case. Weigh your full packed bag at home before travel day, not at the airport counter under time pressure. If you're close to the limit, this is where product stock (which is heavy and replaceable) should move to checked luggage before your display gear does.

    Have a backup plan for the worst case

    Delayed or lost bags happen. If your entire display is in one checked bag and it doesn't arrive, you're setting up with nothing. Splitting critical pieces between a carry-on and a checked bag, even if it's a little less convenient, means a delay doesn't turn into a wasted table for the whole first day.

    None of this is really about any one product, it's about treating your display gear as travel gear once flying enters the picture. The vendors who've been doing this a while tend to convert to flat-packing systems specifically after one bad airport experience, not because someone told them to, but because rebuilding a rigid display twice a year at baggage claim gets old fast.
