The Difference Between Packing For A Local Show And A Flight

For two years, every show I did was within driving distance. Pack the car Friday night, drive an hour Saturday morning, set up, sell, tear down, drive home. The system was simple because the car solved everything. Weight didn't matter. Size didn't matter. I had a metal gridwall, wooden shelves, a heavy tablecloth, and enough stock to survive an apocalypse. It all fit in the boot with room to spare. Then I got accepted to a convention interstate. A flight. And suddenly every decision I'd made about my display was WRONG. The Car Lie Having a car lets you be lazy about packing. That's not an insult. It's just physics. When the distance between your front door and the venue is a car boot, you never learn what things weigh. You never learn how big they are when you're carrying them. You never optimise because you never have to. My gridwall weighed about 10kg. I didn't know that until I tried to put it in a suitcase and the bathroom scale said no. My wooden shelves were another 4kg. The tablecloth, clips, risers, and miscellaneous hardware added another 3kg. Before a single print went into the bag, my display gear was 17kg. The carry-on limit was 7. The Reckoning I did what everyone does: I looked at shipping options. Freight to the venue was $85 each way. Checked luggage was $45 per bag on the airline. Both options assumed everything would arrive intact and on time. Neither came with a guarantee. A friend who'd been doing interstate cons for years showed me her setup. A carry-on sized bag. Inside: flat polypropylene panels, a bag of plastic connectors, and some hooks. She said it took 20 minutes to assemble and built a display taller than mine. I didn't believe her until I watched her do it at the NEXT show. The Switch I bought a modular display kit and took it to a local show first. Setup was different. Clicking panels together instead of threading poles through a grid. But the result was a full-height display with shelves, hooks, and a clean look that my old gridwall never had. Customers actually commented on it, which had never happened with the metal setup. The real test was the flight. I packed the display in my carry-on. Prints in a checked portfolio case. Stock samples in my backpack. Three bags, one person, zero freight costs. I walked off the plane and went straight to the venue. No carousel. No waiting for a shipping crate. No stress. What Changed In My Head The funny thing is, I use the modular display for local shows now too. Not because I have to. Because it's BETTER. Lighter to carry from the car. Faster to set up. Easier to reconfigure when I get a different table size. The car advantage I thought I had was masking how inefficient my old system was. If you're still using a drive-to-show display and thinking about applying to cons further away, don't wait until you get accepted to figure out the packing problem. Switch now. Use it locally. Get fast at setup. Then when that acceptance email comes through, you just book a flight and go. Check the full kit range and pick the size that fits your table. The Core (24 panels) is great for starting small. The Shapeshift (46 panels) covers a standard 6-foot table. Either way, you'll wonder why you ever carried metal.

Why Weight Matters More Than Size When You're Flying

Everyone obsesses over carry-on dimensions. Will it fit? Is it 55cm or 56cm? Does the handle count? Meanwhile, the thing that ACTUALLY gets your bag pulled at the gate is weight. Most budget airlines cap carry-on at 7kg. Some full-service carriers give you 10kg. Either way, that's your entire allowance for everything in your overhead bag: display, stock samples, tech gear, and whatever snacks are getting you through the convention. A metal gridwall display weighs 8-12kg on its own. That's your entire carry-on weight limit before you've put a single print in the bag. You're either checking it (extra fees, damage risk, carousel roulette) or you're leaving it at home and buying something disposable at the destination. The modular display kit uses frosted polypropylene panels and ABS connectors. Those materials were chosen because they're strong and light. The weight difference compared to metal or wood leaves room in your carry-on for the things that actually make you money: product samples, your payment setup, and the tools of your trade. Size matters for fitting through the overhead bin door. Weight matters for EVERYTHING else: your arms carrying it through the airport, your back lifting it into the bin, the scale at the gate, and the total load you're managing when you're one person navigating a foreign airport with a convention to get to. Next time you're shopping for a display, weigh it. Not the shipping weight. The packed-and-ready-to-carry weight. Then subtract that from your airline's carry-on limit. Whatever's left is your actual usable allowance. If the number is zero or negative, that display isn't a travel display. It's a drive-to-the-show display pretending to be portable. Check the full kit range and compare. The numbers speak for themselves.

Why Some Vendors Never Fly With Their Full Display (And Why You Can)

You see it every convention season. Vendors posting in Facebook groups asking if anyone local can lend them a display rack because they couldn't bring theirs on the plane. Or they shipped it ahead by freight and it arrived damaged. Or they just gave up and bought a cheap tablecloth and some risers at the destination. Flying with a full booth display has been a dealbreaker for SO many artists. And honestly, with most traditional setups, it should be. A wooden grid wall doesn't fold. A metal pipe-and-drape system weighs 15kg before you add anything to it. Acrylic risers crack in checked luggage. The maths just doesn't work. But here's what changed: displays that were designed for travel from the start, not adapted for it as an afterthought. The Weight Problem Nobody Talks About Most airlines cap carry-on at 7-10kg depending on the carrier. That sounds like plenty until you realise your display alone eats most of that allowance. A typical gridwall panel setup weighs 8-12kg. You haven't even packed your prints, business cards, or tablet for payments. The modular display kit changes that equation. The panels are frosted polypropylene, the connectors are ABS plastic, and the whole thing packs flat into a case that measures 56x36x23cm. That's carry-on dimensions on virtually every airline worldwide. The weight leaves room for everything else you need in that bag. Why Flat Packing Matters More Than You Think Round tubes don't nest. Assembled frames waste space around their joints. But flat panels stack like books. Every square centimetre of your case is USED, not wasted on air gaps between oddly shaped components. This is why the same system that builds a full 175cm tall display at a convention can disappear into a bag that fits in an overhead bin. The geometry works because it was designed to. The Setup Speed Advantage When you fly to a con, you usually arrive the day before or the morning of. Time is tight. You're navigating a new venue, finding your table, figuring out power outlets. The last thing you need is a 90-minute assembly project. Panels click together with ABS connectors. No tools. No screws. No allen keys rattling around in a ziplock bag. Most vendors get their display standing in under 30 minutes the first time, and faster after that. When you're running on airport coffee and three hours of sleep, that SPEED matters. What About Checked Luggage? You can check it if you want. The panels are tough enough to handle it. But the whole point is that you don't have to. Checking a bag means waiting at the carousel, risking damage, and paying fees on budget airlines. Carry-on means you walk off the plane and head straight to the venue. Some vendors check their stock and carry their display. That way the irreplaceable part (the thing that holds everything up) is always with them, and if the checked bag is delayed, they can still set up and sell from a reduced inventory. Frequently Asked Questions Does the display really fit carry-on size limits?Yes. The packed case measures 56x36x23cm, which meets carry-on requirements for most major airlines globally. Always check your specific airline's limits, but we've had vendors fly with it on Qantas, Jetstar, Virgin, Air New Zealand, United, and dozens of others without issues. Can I build a full-height booth from a carry-on kit?The system builds up to 175cm (about 69 inches) tall, which is five panels high. That's a proper full-size display that looks professional and fills your table space. Check the full kit range to see which size fits your table setup. What if I need a bigger display for a bigger table? The system is modular. Start with a Core kit (24 panels) for a compact setup, or go up to a Shapeshift Duo (92 panels) for large table coverage. Every kit packs flat using the same connector system.
